Getting a racking quote is not as simple as asking “how much per pallet position.” The price you receive-and whether that quote actually matches what you can install and use-depends entirely on the information you provide upfront.
Here’s the reality: a quote is only as accurate as the details you share. Suppliers who receive incomplete inquiries often respond with rough estimates or, worse, quotes that don’t fit your warehouse at all. Then come the change orders, the delays, and the budget overruns.
This article walks through exactly what to prepare before requesting a pallet racking quote. It draws from real-world inquiry practices-what works, what gets missed, and what separates a usable quote from a waste of time.
1. Cargo & Pallet Specifications – The Non-Negotiable Foundation
Every racking design starts with what you’re storing. Without accurate cargo data, no supplier can properly size beams, uprights, or load capacities.

You need:
Pallet dimensions – length, width, and height (including the load)
Weight per pallet – maximum and average load
Cargo type – palletised goods, cartons, long materials, or irregular shapes
Why this matters: A 1,000 kg pallet requires completely different beam profiles than a 500 kg pallet. A 1200mm-deep pallet won’t fit on a 1000mm beam. Small measurement errors can result in racks that don’t fit or create hidden safety risks. For pallet racking or other racking systems, pallet type and condition also affect whether the system works at all.
2. Warehouse Space & Layout – What the Supplier Can‘t See
Many buyers describe their warehouse as “standard” and leave it at that. But standard doesn’t exist. Every building has quirks that affect what can be installed.
You need:
Clear ceiling height – not the roof height, but the usable height below beams, sprinklers, and lights
Floor dimensions – length and width of the storage area
Column positions, door locations, and loading bay access
Floor condition – flatness, load capacity, any slopes or damage
Site photos or a layout sketch – these catch what measurements miss
Why this matters: A warehouse with low ceiling beams might only accommodate 5-meter racks instead of 8-meter ones. Columns in the middle of the storage area change the entire layout. Floor flatness matters for narrow-aisle applications. These aren’t things a supplier can guess.
If you have CAD drawings, share them. If not, a simple sketch with measurements and photos of the space from multiple angles works surprisingly well.
3. Handling Equipment – The Missing Piece
Racking and forklifts work together. Design a racking system without knowing the equipment that will use it, and you risk aisles that are too narrow or lift heights that don’t match.
You need:

Forklift or reach truck type – counterbalance, VNA, reach truck, pallet truck
Turning radius – this determines minimum aisle width
Maximum lift height – can the truck reach the top beam level?
Fork specifications – length, width, and any special attachments
Why this matters: A standard counterbalance forklift needs aisles around 3.5–4.0 meters wide. A VNA truck can work in aisles under 2.0 meters-but only if the floor is flat enough and the rack design supports it. Specify the equipment before the layout is designed, not after.
4. Storage Requirements & Operational Preferences
How you access stock determines which racking type makes sense.
You need:
Number of pallet positions required – current needs and future expansion
Stock rotation method – FIFO (first-in-first-out) or LIFO (last-in-first-out)
Number of SKUs and picking method – pallet picking, case picking, or piece picking
Preferred racking type – selective, mezzanine, drive-in, shuttle, or push back.
Why this matters: A cold storage warehouse with 500 pallet positions and FIFO requirements needs a different solution than a manufacturing plant storing 500 pallets of raw material with LIFO access. Selective racking gives 100% access but lower density. Drive-in gives high density but only works for LIFO. The quote should reflect the right system for your operation, not just the cheapest per position.
